Overview

Design a web-based and desktop application to streamline an existing manual, paper-based process that was rarely completed on time and had inadequate file security once the documents were scanned and stored.

Challenge

Our Database Engineer definitely had the most challenging role during this project. We needed to connect a web app to a desktop file manager, while maintaining HIPAA compliance.

Goal

Design a project management and closure application with 3-tiered permissions structure, automated emails, dashboards, and reporting.

01 - Discover

Project Slippage

This manual closure process had more slippage than Sherbet Land covered in banana peels.

Projects were supposed to close within 30 days but closure dates were loosely adhered to and poorly monitored.

02 - Define

Users Defined

Three different user roles were required for this application - Admin, Partner, and Consultant. Permissions varied by user role, limiting closure tasks to those assigned to the respective projects.

03 - Design

Transparency is key

Two custom applications for project closure and file management seamlessly integrated into one solution. To encourage timely project closures, task completion statuses have been made visible to all consultants assigned to the project. The custom file manager eliminates duplicate file creation and security vulnerabilities.

04 - Reflection

You get more flies with honey than vinegar

This engagement highlighted the importance of working with the client and understanding their point of view. In this case, our client preferred the more costly on-premises solution to the more streamlined, cheaper cloud solution.

Similar to the idea of going live with an MVP, sometimes its better to baby-step a client to the right solution one version at a time. Not everyone share’s the same amount of tolerance to change and for those of us with the consultant mindset, this can be difficult because we want what’s best for our client.
